Sound familiar?

Clean books shouldn't cost you your evenings.

Whether you manage one company or fifty, the bottleneck is always the same: getting messy financial documents into accurate, categorized records.

Hours of manual data entry

Re-typing line items off PDF statements and shoebox receipts is slow, error-prone, and the first thing to fall behind when you get busy.

Vendors miscategorized

"SQ *TBC HARDWARE #482" means nothing to a generic rules engine. Bad categorization means bad reports — and a cleanup project every quarter.

Reconciliation guesswork

Does the statement actually tie out? Without a fast way to check beginning and ending balances, every close is a leap of faith.

What BookLink does

Everything from upload to export — in one place.

Purpose-built for the messy middle of bookkeeping: capturing source documents and turning them into trustworthy, categorized data.

Statement parsing

Upload bank and credit-card statements as PDF, CSV, or OFX — or snap a photo. Scanned documents fall back to OCR. Transactions are extracted automatically.

Receipt & voice capture

Field teams photograph receipts and record a quick voice memo — job, trade, and account get transcribed and attached, even for tap-to-pay purchases.

AI auto-categorization

A six-level matching engine cleans messy bank descriptions and assigns the right account — using both a global vendor map and per-client overrides.

Bank reconciliation

Track beginning and ending balances and let BookLink confirm the math ties out — with clear OK / CHECK status so nothing slips through the close.

Reports & export

Generate P&L, balance sheet, and cash-flow views, then export clean data to a formatted Excel template or a polished PDF report in one click.

Multi-client by design

Run dozens of clients from one place. Each company is fully isolated, with its own vendor rules, employees, and feature toggles.

How it works

From source document to clean export in four steps.

STEP 01

Upload & capture

Drop in statements or snap receipts from the field — any format, any device.

STEP 02

AI categorizes

Descriptions are cleaned and matched to the right account, per client.

STEP 03

Review & reconcile

Confirm flagged items and verify the statement ties out.

STEP 04

Export clean data

Send finished books to Excel or PDF — ready for your accounting workflow.

Why BookLink

Categorization that actually understands your vendors.

Generic bank rules break the moment a processor prefix or store number shows up. BookLink cleans the description first, then matches it through a layered cascade — so the results hold up.

  • Per-client vendor overrides take priority over the shared global map
  • Substring and fuzzy matching catch the variants rules engines miss
  • Review keywords force a human check on the transactions that matter
  • Duplicate detection fingerprints each transaction so nothing posts twice

Questions

Good to know

What file formats can BookLink read?

Bank and credit-card statements as PDF, CSV, and OFX/QFX, plus images (JPEG, PNG, TIFF, BMP, WebP). Scanned or photographed statements fall back to OCR so you can still pull transactions out of them.

How does the auto-categorization work?

BookLink first cleans the raw bank description — stripping store numbers, processor prefixes, dates, and locations — then runs it through a six-level cascade: per-client overrides, the global vendor map, substring matches, review-keyword checks, fuzzy matching, and finally a "needs review" fallback so nothing is silently miscategorized.

Can I manage multiple clients?

Yes. BookLink is multi-tenant by design. Each company is fully isolated with its own vendor rules, employees, and feature toggles, so one bookkeeper can run many clients from a single place.

How do receipts get captured in the field?

Your team photographs the receipt and records a short voice memo with the job, trade, and account. The memo is transcribed automatically and attached to the transaction — including for Apple Pay and Google Pay purchases.

Where does the data go when I'm done?

Export categorized, reconciled data to a formatted Excel template or a polished PDF report — ready to drop into your accounting workflow or hand to Best Decision Bookkeeping.
