How it works

Four steps from raw documents to clean books.

BookLink follows the same path a great bookkeeper would — it just does the slow parts for you, and flags only what genuinely needs a human.

STEP 01

Upload & capture

Drag in statements or snap receipts in the field.

STEP 02

AI categorizes

Descriptions are cleaned and matched per client.

STEP 03

Review & reconcile

Confirm flagged items and check the statement ties out.

STEP 04

Export clean data

Send finished books to Excel or PDF.

Step 01

Upload & capture

Get every source document into one place, no matter where it came from. Office staff upload statements; field crews capture receipts as the purchase happens.

  • Bank & card statements in PDF, CSV, or OFX
  • Scanned images read with OCR fallback
  • Receipts captured by photo + voice memo
  • Duplicate uploads detected and blocked
In

statement_oct.pdf → 142 transactions
amex_q3.csv → 88 transactions
receipt_4821.jpg → captured
🎙️ "fuel, truck 3, Miller job"

Step 02

AI categorizes

Each transaction's description is scrubbed of store numbers, processor prefixes, dates, and locations — then matched through BookLink's six-level cascade so it lands in the right account.

  • Per-client overrides applied first
  • Global vendor map for known merchants
  • Substring + fuzzy matching for the rest
  • Review keywords flag anything sensitive

Step 03

Review & reconcile

You stay in control of the close. BookLink surfaces only the transactions it wasn't confident about, and confirms whether each statement actually balances.

  • "Needs review" queue instead of silent guesses
  • Beginning/ending balance checks per statement
  • Clear OK / CHECK reconciliation status
  • Manual reconciliation log when you need it

Step 04

Export clean data

When the books are clean, hand them off. Export to a formatted Excel template with preserved formulas, or a polished PDF report — ready for your accounting workflow or Best Decision Bookkeeping.

  • Template-based Excel export
  • PDF reports with cover pages
  • P&L, balance sheet & cash-flow views
  • Feeds straight into the BDB suite
